This policy applies to information we collect from visitors to nomadicasolutions.com, prospective clients, and people who reach out to us through the site. Information we collect from active clients in the course of preparing tax returns, performing bookkeeping, or providing fractional CFO services is governed by the engagement letter and IRS Circular 230 standards rather than this policy; if you are an active client and have questions about how your engagement-related records are handled, contact us directly.

What we collect and why
Our guiding principle is to collect only what we need.
Information you give us through site forms
When you submit our contact form, request a free consultation, sign up for the newsletter, refer a friend, or RSVP to a seminar, we collect the information you provide. Depending on the form, that may include:
- Your name, email address, and phone number
- Your business name and state, if you choose to share them
- The service you're interested in and any details you write into the message field
- For referrals: the referred person's name, email, and phone number — provided by you so we can reach out
- For booking: information used to pre-fill our scheduling tool when you book a consultation
We use this information to respond to you, schedule conversations, send the newsletter you requested, and follow up on referrals. We treat each form submission as an explicit request to be contacted about that specific topic.
Information collected automatically
The site is hosted on Cloudflare. Cloudflare's edge network logs technical details about requests — IP address, user agent, and request timing — for security, abuse prevention, and infrastructure operations. We use Cloudflare Web Analytics for basic traffic measurement: it is privacy-friendly, does not use cookies, and does not fingerprint visitors. The aggregate metrics we see are visit counts, page popularity, and referrer domains — never individual visitor profiles.
Cookies
The site itself does not set advertising or tracking cookies. We may use a small number of first-party functional cookies to remember preferences (for example, a closed banner) on a strictly per-browser basis. Cloudflare may set security-related cookies (such as __cf_bm) to mitigate bot traffic. You can clear or block cookies in your browser settings; the site will continue to work normally.
Information from clients during engagements
If you become a client, we collect the financial and personal information needed to perform the services you've engaged us for — for example, prior tax returns, bank records, and entity documents. That information is collected and handled under the terms of your engagement letter and applicable professional standards (including IRS Circular 230). We do not store client tax records on this marketing website.
When we access or share your information
To provide the services you've requested. When you submit a form, the contents are delivered to our team by email and stored as a lead record in our content management system. The information may be processed by the third-party service providers listed below, each of which acts on our behalf and only for the purposes we direct. We do not sell your data, and we don't share it with marketers, ad networks, or data brokers.
To respond to legal process. We will only disclose information when compelled by valid legal process — a subpoena, court order, or warrant — and we will narrow our response to what is required.
We never sell your data. We don't sell, rent, or trade your personal information to advertisers, data brokers, or any third party for marketing purposes.
Aggregate or de-identified data. We may use aggregate or de-identified statistics — for example, "this many people submitted a contact form last month" — for our own operational purposes. Aggregate statistics cannot be used to identify any individual visitor.
Business transitions. We have no plans to be acquired or merged. If that ever changes, we will notify users before any personal information is transferred or becomes subject to a different privacy policy.
Service providers we use
We rely on a small number of vetted third-party services to run the Site and process form submissions. Each handles only the information needed for its role and is bound by its own privacy policy.
- Cloudflare — hosts the Site, runs the form-submission and notification infrastructure (Workers), provides bot protection (Turnstile), and collects privacy-friendly traffic analytics (no cookies, no fingerprinting). Turnstile runs in invisible mode on submission forms and may collect limited data (such as user-agent strings and behavioral signals) to distinguish humans from automated traffic; that data is processed by Cloudflare under the Turnstile Privacy Addendum. - Sanity — content management system that stores blog posts, events, and the lead records created when you submit a form. Sanity Privacy Policy.
- Resend — transactional email service that delivers internal notification emails to our team when a new lead is captured. Your form contents pass through Resend in transit but are not retained for marketing or shared further. Resend Privacy Policy.
- Microsoft 365 / Outlook — our internal email hosting and the booking platform we link out to from our booking modal. If you complete a booking or correspond with us by email, you are interacting with Microsoft and your data is governed by Microsoft's privacy policy. Microsoft Privacy Statement.
This list will be updated when we add or remove a service provider. Material changes will be flagged at the top of this policy.
Your rights with respect to your information
We try to apply the same data rights to all visitors and clients regardless of where you live. Some of those rights include:
- Right to know: what personal information we have about you and how it's used.
- Right to access: a copy of the personal information we hold about you.
- Right to correction: ask us to fix inaccurate information.
- Right to deletion: ask us to remove personal information we hold about you, subject to limited exceptions where we're required by law to retain certain records (for example, tax engagement files have a regulatory retention period).
- Right to restrict or object: tell us to stop using your information for a specific purpose, including unsubscribing from our newsletter at any time using the link in any newsletter email.
- Right to non-discrimination: we will not provide a lower level of service or charge a different price because you exercised a privacy right.

How we secure your data
Our website is served over HTTPS with TLS encryption, so traffic between your browser and the site is encrypted. We use reputable service providers for email, scheduling, and (where applicable) accounting software, all of which encrypt data in transit and at rest. For active client engagements, we follow professional standards for safeguarding client information, including appropriate access controls and secure document handling.
Data retention
We keep information only as long as we have a reason to. Specifically:
- Form submissions and email correspondence: retained for the lifetime of the prospective or active relationship, plus a reasonable follow-up period.
- Newsletter subscriber list: retained until you unsubscribe.
- Engagement records (active clients): retained as required by IRS regulations and applicable state rules — typically a minimum of seven years for tax-related records.
- Server access logs: rotated automatically by our hosting provider on their standard schedule.
Location of site and data
Nomadica Solutions is a U.S. company based in Georgia, and our data and service providers are primarily located in the United States. If you are visiting from outside the United States, please be aware that information you provide will be transferred to and stored in the United States.
Changes and questions
We may update this policy as our practices change or as required by law. When we make a meaningful change, we will refresh the "Last updated" date at the top of this page. Continued use of the site after changes are posted means you accept the revised policy.
